This policy explains how Housify Holdings LLC (“Housify”, “we”, “us”) handles information when you use the Housify software at housify365.com and this website. It is written in plain language on purpose.

1. Who the data belongs to

Housify is used by landlords and property managers (“customers”) to run their rentals. Information about tenants, owners, properties, payments and documents is entered by, or on behalf of, the customer. The customer is the controller of that data; we process it to provide the service. If you are a tenant or owner and have a question about your data, contact your property manager first — they control the account.

2. What we collect

Account data: name, email address, role and sign-in records for each user.
Property management data: whatever the customer enters or imports — tenants, leases, charges, payments, documents, messages, maintenance, utility accounts, bank transactions and accounting entries.
Banking data: transaction and balance information from accounts the customer connects through Teller or Plaid. Housify never sees or stores bank usernames or passwords.
E-signature records: the signer's name, email, IP address, time and the document's hash, kept with the signed copy as the certificate of completion.
Technical data: device and browser type, error reports and performance data, and the audit trail of actions taken in the app.
This website: no cookies, no analytics, no tracking. If you email us, we keep the email.

3. How we use it

To provide the service: leases, ledgers, reports, notices, portals, messages and the rest of what the app does.
To send the messages customers ask us to send on their behalf — invites, reminders, signing requests, notices — by email and text.
To keep the service secure and working: audit logs, error reports, backups.
To answer support requests.

We do not sell personal information, do not use it for advertising, and do not use customer data to train artificial-intelligence models. Housy AI, the assistant inside the app, answers questions from the customer's own data through a model provider that does not retain or train on the prompts.

4. Who we share it with

Only with the providers needed to run the service, each bound by their own terms and security commitments: Supabase (database, authentication and file storage, United States), Vercel (hosting), Resend (email delivery), Teller and Plaid (bank connections), Cloudflare (network, DNS and AI models), Sentry (error reporting), and Google Voice where a customer connects their own number for texting. We share data with authorities only when the law requires it, and with a customer's tenants and owners only through the portals the customer enables.

5. Security

Data is encrypted in transit and at rest. Every table is protected by row-level security so that one company can never read another's records. Stored utility-portal credentials are encrypted with keys we hold separately from the database. Every change is written to an audit trail. Records are soft-deleted and archived rather than destroyed, so your books stay complete.

6. Retention

We keep customer data for as long as the customer has an account, and for a reasonable period afterwards so that it can be exported or restored. Signed documents and accounting records are kept for as long as the customer needs them for legal and tax purposes. A customer can ask us to delete the account and its data at any time by emailing hello@housify365.com.

7. Your rights

You can ask what personal information we hold about you, ask for it to be corrected or deleted, and ask for a copy. If you are a tenant or owner, we will route the request through your property manager, who controls the account. Email hello@housify365.com.

8. Children

Housify is for businesses and is not directed at children under 13. We do not knowingly collect information from them.

9. Changes

If this policy changes materially, we will post the new version here with a new date and tell customers inside the app.
